OVERVIEW

During the company’s hackathon event, I was tasked with designing high-fidelity screens for the HR department.  However, when I joined, the hackathon was already nearing its final stage and the project team needed the high-fidelity screens to be completed within 3 days. The hackathon also challenged the teams to incorporate AI into their solutions.   

Problem

Employees are facing challenges in accessing necessary information and documents, which often required them to reach out to multiple people via email or chat, leading to inefficiencies and delays. There have been also instances where employees with crucial knowledge have resigned without completing proper knowledge transfer, leaving gaps and making it difficult for others to find about certain procedures due to the lack of proper documentation. Additionally, the HR department experiences repetitive requests for the same information. 

Solution

The project team proposed creating a centralized database called 'KnoWave' that would enable employees to easily search for articles and documents. Additionally, employees can request for documents, whereas some authorized employees can create new documents. This aims to address the existing information gaps and streamline the documentation process. 

One key feature of the hub is having an AI assistant, which provides summaries and overviews of search queries, similar to Google and Microsoft search functionalities. The search results also include quick links to related documents. 

A dictionary feature that highlighted power words within documents and articles aimed to enhance employees' vocabulary. Additionally, annotation enabled employees to save important information.

An option to Listen to the Document was added to cater to employees who preferred audio over reading.

Authorized users could contribute and create documents, requiring an approval process to ensure accuracy and quality. Approvers receives an email notification and dashboard alerts for pending documents. Users can leverage AI assistance, providing intelligent suggestions and guidance, to help users create and organize documents more effectively. 

The project team was pleased with the final design. We collaborated through Figma, where they provided feedback on specific copies to ensure alignment with their internal terms.
